We host our website on secured servers located within the European Union (e.g. Hetzner Online GmbH). The provider of these pages automatically collects and stores information in server log files that your browser transmits to us:

• Browser type and version
• Operating system used
• Referrer URL (previously visited website)
• Host name of the accessing device
• Time of server request
• IP address (anonymised or retained for a maximum of 7 days for threat prevention)

The legal basis for this data processing is Art. 6 (1) (f) GDPR. The website operator has a legitimate interest in the technically error-free presentation, stability and cyber defense (DDoS, brute-force) of its service.

5. Cookies & Local Storage

Our website uses cookies and browser local storage. Cookies are small text files stored on your device by your web browser.

• Technically Necessary (Essential): Strictly required for basic operation and security (e.g. remembering your cookie consent under groove_cookie_consent and protecting booking submissions with Google reCAPTCHA v3). Legal basis: Art. 6 (1) (f) GDPR and § 25 (2) TDDDG.
• Optional Media / Analytics: Activated only upon your explicit prior consent (e.g. embedded video showreels). Legal basis: Art. 6 (1) (a) GDPR and § 25 (1) TDDDG.

6. Booking Enquiries & Forms

When you contact us via the booking enquiry form on the GROOVE website, the information you enter (event type, preferred dates, venue location, name, email address, phone number and project notes) is processed to handle your enquiry and prepare a booking offer.

Transmission is securely encrypted via our API endpoint /api/forms/groove. Processing is based on Art. 6 (1) (b) GDPR (pre-contractual measures) and our legitimate interest in responding effectively to booking requests (Art. 6 (1) (f) GDPR).

Data will be stored only as long as necessary to fulfill your request or comply with statutory retention periods.

7. Google reCAPTCHA v3

We use Google reCAPTCHA v3 provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland.

The purpose of reCAPTCHA is to check whether data entered into our booking form is typed by a human or an automated bot. reCAPTCHA analyses user behavior (e.g. IP address, time spent, mouse cursor movement) and transmits this information to Google.

The legal basis is Art. 6 (1) (f) GDPR. The website operator has a legitimate interest in safeguarding the contact form from spam, scraping, and abuse.

8. Self-Hosted Fonts (No Google Font CDN)

This site uses the Outfit font family. All font files are hosted locally on our own servers in WOFF2 format.

9. External Media (YouTube / Vimeo)

We link to and embed official trailers and showreels hosted on YouTube and Vimeo. When you access external media, a direct connection to their respective servers is established, which may set cookies.

This occurs on the basis of your consent (Art. 6 (1) (a) GDPR), which you can grant or withdraw anytime via our Cookie Preferences.
